Privacy policy
Browsing this site needs no personal details. Personal data is collected in two places: the enquiry form, and messages you send us. It is used to answer your enquiry and, if you engage Tax Filed For You, to do the work. It is not sold and it is not used for marketing lists.
Who we are
The controller is Fairmead Accountancy Ltd (company number 17565557), trading as Tax Filed For You and, for the employer service, under its own name, operated by Patrick Roper. Contact: patrick@taxfiledforyou.co.uk. Registered office: 4th Floor, 14 Museum Place, Cardiff, CF10 3BH.
What we collect and why
- The enquiry form, email and WhatsApp. Your name, which service you need, your email, your mobile number, and anything you write. Lawful basis: the steps you ask us to take before a contract, then the contract itself if you engage us. The exact consent wording shown on the form is stored with each enquiry.
- Tax and payroll records. CIS statements, bank statements, rent records, payroll and rota exports, sent by you once an engagement starts. Payroll data contains personal data about your staff. Lawful basis: the contract, and the legal obligations that come with preparing a tax return. They are never put through public AI tools.
- HMRC. To file on your behalf we hold agent authorisation with HMRC for your tax account. HMRC is a controller in its own right.
- Analytics and advertising measurement. Cookieless page analytics (Vercel Web Analytics) and session analytics (Microsoft Clarity). Where you arrive from an advert, the campaign reference in the link is stored for that browsing session only, so we know which advert brought the enquiry. No advertising cookies are set by this site.
Who receives your data
- HMRC, through the filings you engage us to make.
- Service providers (processors): Vercel (hosting), Resend (email delivery for the enquiry form), Google (business email), Meta (WhatsApp messaging), Microsoft (Clarity analytics), and the filing software, recognised by HMRC, used for your returns. Some process data in the United States under UK-approved safeguards.
- Nobody else without your instruction, unless the law requires it.
How long we keep it
- Enquiries that do not become an engagement: 12 months, then deleted.
- Engagement files, including tax and payroll records: 6 years after the end of the tax year they relate to, as HMRC and professional rules require.
Your rights
You can ask for access, correction, deletion, restriction or portability of your data, and object to processing based on legitimate interests, at any time: email patrick@taxfiledforyou.co.uk. You have the right to complain to the Information Commissioner's Office at ico.org.uk.
